SUMMARY: Condensing a document changes the representation a reviewer sees. The useful question is not only whether the selected words are correct, but whether the shortened account supports the same conclusion.
Accurate Fragments, Different Meaning
In The Missing Column, a fictional reservation table becomes a travel history when its status column disappears. Each destination survives accurately. The implication does not.
This distinction applies to a manually prepared briefing as well as an automated extraction. A date can be an estimate, a deadline or an observed event. A quotation can record an allegation rather than endorse it. Removing those relationships can change the account without introducing a single new word.
Preserve What Changes the Conclusion
A useful summary does not reproduce every detail. It preserves the qualifications that matter to its intended use. For a disputed journey, booking status may be decisive; page decoration is not. State the review question before deciding what can safely be omitted.
Keep a usable reference to the relevant source passage, including a table heading or note when the passage depends on it. A link to a hundred-page file is less useful than a reference that lets an authorized reviewer find the basis of a specific statement.
Separate Processing From Verification
A successful extraction means the system produced an output. It does not establish that a reviewer compared that output with the source. Record those events separately, and explain uncertainty where formatting, missing context or ambiguous language affects interpretation.
Access to the original should follow the same privacy controls as the case. Do not make sensitive source documents public simply to make a summary easier to check. Provide an authorized route for a participant to challenge a material misstatement without exposing unrelated records.
Repair the Dependent Claim
When a summary changes, identify which decision used the earlier version. Correcting the text alone may leave the consequence untouched. Preserve enough version context to explain the correction without keeping unnecessary copies forever.
Use Check Summary Fidelity for a bounded exercise and the systems accountability guide for the wider review process. This framework does not certify an extraction tool or determine a real dispute.
